How do matching gifts get submitted and verified by myself (the donor), charity: water, and my employer?

The matching gift submission process is easy but it does involve a few steps:

  1. As the donor, kick off the process and submit a matching gift request to your employer

    Use the search bar above to find the name of your employer. If your company has a matching gifts program, you’ll see instructions on how your employer requires the request to be submitted.

    Typically, this is done electronically through an online portal that your employer has set up. Using your employer’s portal, you’ll fill out basic information such as your name, employee ID, the name of the organization you donated to (charity: water), and the desired match amount. Other times, it’s a paper form that you’ll fill out with similar information.

  2. Provide verification that you made a donation

    Many matching gift programs require the donor to submit proof of their donation. If your employer requires proof of donation please follow the steps below to obtain your charity: water donation verification.

    When you donate to charity: water, we immediately send you an email confirmation of your donation. Save this email as a PDF; it should suffice as proof of your donation.

    You can search your inbox for emails from “team@team.charitywater.org” and the keywords “your donation is tax deductible”. If you have any questions or your employer is requesting additional verification, please reach out to our Supporter Experience team at team@charitywater.org.

  3. Your employer or company issues the matching gift check

    Each company has its own timeline, but once you have indicated that you made a donation and a charity: water team member has verified the donation, it’s only a matter of time before your company issues a matching donation.

How should I submit matching gift requests for my automated monthly donations?

As a monthly donor to charity: water, you have three options for requesting a match from your employer (depending on your employer’s guidelines):

  1. Once per quarter or year, you can submit the aggregate total donation amount you made to charity: water within that time period.

  2. You submit a matching gift request to your employer each month, once your monthly donation has been processed.

  3. You submit the expected annual total donation for the company to match at the time of initial commitment.

Typically, the most efficient option is for you to aggregate your monthly donations (Option #1) and submit match requests for contributions made over multiple months. It saves you and charity: water time.

However, we recommend checking in with your employer’s HR department to see what option works best with your employer’s matching gifts policy. Most companies only match actual donations made by employees, not pledges, so Option #3 is not often supported.

How can I obtain confirmation of my donation?

Does my employer need to register with charity: water before I request matching gifts?

In almost all cases, your employer does not need to register in advance with charity: water.

Each company establishes its own guidelines around the types of organizations that they'll match to. Generally, these guidelines are broad categories that include most 501(c)(3) organizations.

When you submit a matching gift request, your employer will make a quick determination on whether charity: water meets the program’s guidelines, based on our mission statement and IRS registration.
